THE FOLLOWING IS SUMMARY OF OUR RENTAL TERMS & CONDITIONS. UPON DELIVERY WE WILL GO OVER THE RULES & REGULATIONS OF OUR RENTAL AGREEMENT ALONG WITH INSTRUCTIONS ON HOW TO USE THE VAN AND ALL ITS EQUIPMENT
RESERVATIONS: A deposit of $250.00 is required at time of booking. This must be paid by Credit Card only. This deposit is your CONFIRMED RESERVATION and will be used towards your total rental cost at time of pick-up.
PAYMENT AND SALES TAX CHARGES: All remaining rental charges are payable at time of Vehicle PICK UP. This must be paid in U.S. dollars by Cash, Travelers Checks, Cashier's Check, Master Card, VISA. Sorry, no personal checks accepted. If payment in full has not been received by the stipulated date, We reserve the right to cancel the booking without further notice and without refund of deposit. We are required to apply a $3.00 per day Hawaii State Rental Car Surcharge, and a 4.166% Hawaii State Excise Tax.
SECURITY DEPOSIT AND VEHICLE TURN IN: A $500.00 Security-Cleaning deposit is required at the time of Vehicle PICK UP. This deposit is fully refundable upon the return of the vehicle, provided it and any accessory equipments are undamaged, and the van is in exceptable condition, and if there are no additional outstanding charges or fees along with the fuel tank being full. Also, if there is no eveidnece of smoking or pets in the van.
CANCELLATIONS: All cancellations must be confirmed in writing (E-mail, fax or letter). A $50 processing charge applies to all cancellations made at any time after deposit is accepted. For cancellations made less than 3 weeks prior to scheduled date of departure, or no shows, the entire trip cost shall be forfeited.
For cancellations of days off the Reserved Dates (a shortened trip) made more than 3 weeks prior to scheduled date of departure, you will only be charged the $50.00 processing fee.
For cancellations of days off the Reserved Dates (a shortened trip) made less than 3 weeks prior to scheduled date of departure, you will be charged for those days whether you use them or not.
There will be no refunds of time charges for late pick up or early return.
You may change your dates ( as long as the length of the trip remains the same.); SUBJECT TO AVAILABILITY. There will be a $50.00 processing charge.
DRIVER LICENSE: All drivers must hold a valid driver's license for the entire rental period, and a major credit card. An international driver's license is recommended for foreign tourists. MINIMUM AGE IS 25.. Only drivers listed on the contract are allowed to drive. All drivers and their licenses must be present at time of vehicle pick up.
VEHICLE PICK UP AND RETURN: All vehicles are available for pickup and return at our Hilo business office. We also will pick up or drop off our customers anywhere in the Hilo Hawaii area FREE of charge. Van or customer pick up and return times will be made by appointment. We offer this seven days a week from 7:00am-4:00pm... except major holidays, unless prior arrangements have been made. Vehicles can only be picked up and returned by the applicant on file/reservation form.
ROAD RESTRICTIONS: Mauna Kea Summit, Mauna Loa, Saddle Road, Green Sands Beach, and Waipio Valley are off limits. NO Off Roading or driving on unpaved Lava Rock type roads. Lessor is responsible for all damage to vehicle, tires, towing charges, expenses incurred as a result of a breakdown associated with operating in these areas. Lessor is responsible for all parking or moving violations during rental term.
CAMPER RULES: We have a strict No smoking or pets policy; evidence of smoking, or pets in the vehicle is subject to a minimum $250.00 cleaning fee. Towing of anything is prohibited at all times. Pop top must be lowered and secured, gear securely stored, and all doors must be closed while vehicle is in motion. Propane tank turned off while in motion. No standing or sitting on the roof at any time, or items placed on the roof while traveling unless there has been verbal communication and an OK from a member of the Happy Campers Hawaii team.
INSURANCE: We provide the Hawaii State minimum coverage: Liability to others: 1) Bodily injury $20,000 / $40,000. 2) Property damage $10,000. Personal injury protection (PIP) coverage- Medical expenses only; $10,000.
OPTION ONE For Citizens of U.S.A. and Canada only:
All additional Insurance coverage has been provided by You, (Liability, Comprehensive, and Collision) either by your home, auto or other insurance source. Please note that Insurance provided by credit card companies does not cover vehicles older than 20 years, or RV rentals. We do not sell any insurance coverage for your rental; it must be provided by you. It is best to purchase a separate 'binder' from your insurance company- these generally provide you with the best coverage for your rental. You will need to provide us your insurance information prior to the rental so we may verify the coverage. We will provide you with the VIN number and registration information at the time of booking. You are responsible for any and all* damage or loss you cause to the vehicle, or others, regardless of fault. You will indemnify, defend and hold Us harmless from all liability, cost and attorney fees arising out of Use of the Vehicle that are in excess of or excluded from the protection provided by You. *If mechanical and/or electrical damage has occurred, and it has been deemed by an independent appraiser or authorized VW repair shop that the damage was caused due to negligence on the renter’s part, then Happy Campers Hawaii will seek full restitution for the cost of repairs, and any/all fees arising from the loss of our use of the vehicle. First with the renter by their choice of payment, or by charging their credit card. Second, by taking legal recourse.
Happy Campers Hawaii provides a comprehensive vehicle orientation prior to each rental, which the primary renter shall initial as evidence of receiving operation instructions. Failure to follow these verbal instructions constitutes negligence on the renter’s part. Example: 1. Not heeding the warning lights on dash, or temperature gauges. 2. Not stopping the vehicle immediately. 3. Not calling Happy Campers Hawaii as soon as a problem with the vechicle occurs. 4. Not following the road restrictions as listed on the Rental Agreement that is signed.
OPTION TWO For all other "foreign" Citizens:
A security deposit of $5000.00 U.S.D. is required (this amount is "held" on your card until the vechicle is returned and checked over) which will be submitted to your credit card company a few days before your arrival, along with a extra fee of $15 per day added to the daily rental tariff. Also, a $50.00 non-refundable, processing fee will be charged. (This option is not available to residents of U.S.A. or Canada.) All the same rules as mentioned above apply to you. You MUST have a valid International Drivers License. Your security deposit will be refunded upon the satisfactory return of the vehicle (i.e. No accident damage, returned on time, refueled, and in a clean and tidy condition, etc.)
ORIENTATION: There will be a brief mandatory orientation of the vehicle on safety and equipment functions. We provide each of our campers with maps to help on your tour around the Big island of Hawaii. We also try and answer any questions about the Island and the camp area's before sending our Happy Campers out on their adventure! Advance campsite reservation is strongly recommended. See our "Campground info" page.
We will provide You with a FULL tank of Supreme/Premium fuel. You are required to return the Vehicle with a full tank of Supreme/Premium fuel. In the event the tank is returned NOT FULL, we will assess a refueling service fee, based on a Service Charge of $7.00 per gallon. The total of this charge is determined by subtracting the capacity of the tank that is full, as indicated by the fuel gauge, from the manufacturers specified tank capacity of the vehicle.
This is only a summary of the actual contract. When you pick-up your van you will be looking at and signing the official contract.
